Conference Attendee Manual

As an Attendee at a Conference Tracker-supported event, you have multiple ways to access your conference!

  • Conference Attendee Online Portal - By visiting our Conference Attendee Online Portal, you can review your conference's session schedule and view any online session video streams (if available).
  • Conference Attendee Mobile App - By downloading our Conference Attendee app, you can interact with other attendees, take surveys and evaluations, view online session video streams, and much more!

Conference Attendee Online Portal

As an Attendee, you can access some general information about your Conference through our Conference Tracker website as well! By logging into the Conference Tracker Website, you will be able to view your session attendance and registrations, print your badge, and even stream online sessions (if available)!

Logging In

After visiting www.conftrac.com, you will be asked for the email that is tied to your Conference Attendee account. After entering this information, the conference you are registered to will be matched with your email and you will be asked for your password.

If this is your first time logging into your account, the system will inform you that an email has been sent containing your first-time password.

If you are registered to multiple conferences that use Conference Tracker, you will be asked which conference you would like to access. After entering your password, you will be taken to your Conference Dashboard.

Attendee Dashboard

Once you have logged in to your account, you will be taken to your Attendee Dashboard. The dashboard is divided into three sections:

  • Dashboard Screen: In the middle of the screen you will see your main Dashboard screen. Here, you will be able to see ongoing sessions, upcoming sessions, your recorded attendance, and much more! The information will be displayed in a set of organized widgets:
    • Sessions: In the Sessions widget, you will be able to view all ongoing and upcoming sessions. If these sessions are available to watch online, they will have a Watch Now button next to their title.
    • Your Sessions: If your event is offering individual session registrations, then this widget will display the sessions you have registered for.
    • Your Attendance: After you have participated in one or more sessions, the Your Attendance widget will display a summary of your session attendance. You will also be able to see which Quizzes are available for you to take in this widget.
    • Your Report: If enabled by your event organizer, the Your Report widget will allow you to generate and download a copy of your current CEU Report.
    • Your Certificate: If enabled by your event organizer, the Your Certificate widget will allow you to generate and download a copy of your current Certificate of Attendance.
  • Navigation Menu: On the left-hand side, you will see your Navigation Menu. This menu will allow you to navigate throughout the entire conference space to view other sections such as Session Schedule, Attendee List, Exhibitors & Sponsors, and much more!
  • Conference Browser: The Conference Browser, located on the right-hand side, will display additional information throughout the event space. Always keep your eye on this section, as it will dynamically change as you navigate through the conference!




Watching a Session

While on the Attendee Dashboard, some Sessions might have an online stream available to view. This will be noted by the button next to the Session's title. When clicked, you will be taken to the session's live stream page. Here, you will be shown some information about the session. Clicking on the button will check you into the session and display the video stream and the session's social feed, displayed on the right. You will be able to watch the session and interact with other attendees simultaneously! Once you leave this window or go to another session, your sign-out time will be recorded, properly ensuring your attendance.

Quizzes

Some conferences might require you to complete a quiz to obtain credit for any sessions you have attended. This will be noted in Your Attendance widget on your dashboard. Next to any Session, you have attended you will see a blue button labeled Take Quiz if that Session has a required Quiz assigned to it. Clicking on this button will allow you to take the required Quiz. Once you have finished the Quiz, you will be automatically graded. Remember, you will need to pass this Quiz to obtain credit for the Session you attended!

On the left-hand side, you will see your Navigation Menu. This menu will allow you to navigate throughout the entire conference space to view other sections such as Session Schedule, Attendee List, Exhibitors & Sponsors, and much more! Below, we'll go over all of the available sections for you to navigate through your event space.

Conference

  • Sessions: In the Sessions section, you can view the complete list of Sessions that will be available at your conference. Clicking on any of the session titles will bring up more information about the session on the Conference Browser side window. You can also filter your Sessions by Tracks and Dates.
  • Schedule at a Glance: In this section, you can quickly see the daily schedule for your conference in both your time zone and the time zone of the conference.
  • Presenters: View a list of all Presenters at the conference. Clicking on their names will bring up their profile and other interaction options on the Conference Browser side window.
  • Sponsors: View a list of all Sponsors at the conference. Clicking on their names will bring up their Sponsor profile and other interaction options on the Conference Browser side window.
  • Exhibitors: View a list of all Exhibitors at the conference. Clicking on their names will bring up their Exhibitor profile and other interaction options on the Conference Browser side window.
  • Virtual Exhibit Hall: The Virtual Exhibit Hall will showcase all Sponsors and Exhibitors at your conference who have uploaded promotional material. If interested, simply clicking on their company title will load their profile on the Conference Browser side window.
  • Announcements: View all conference announcements that have been sent throughout your event.
  • Maps: Quickly view a map of the event space, including room locations and exhibitor/sponsor booths.
  • Info: The Info section will give you a quick overview of the event you are attending, such as event dates, location, and much more.

Network

  • People: View a list of all of the Attendees present at the conference. Clicking on their name will load their Attendee profile and other interaction options on the Conference Browser side window.
  • Messages: View and create messages to send to other users at the conference.
  • Appointments: View and create appointments with other users at the conference.

Questionnaires

  • Live Polls: If available at your conference, you will be able to answer and view the results of any Live Polls generated during your event.
  • Surveys: If available at your conference, you will be able to answer and view the results of any Surveys generated during your event.
  • Session Evaluations: If available at your conference, you will be able to answer Session Evaluations for each session you have attended.
  • Conference Evaluation: If available at your conference, you will be able to answer Conference Evaluations for the events performance as a whole.

Account Menu

  • Profile: View and update your profile.
  • Attendance: View your attendance logs for all sessions you have attended.
  • Registered Sessions: If available at your conference, view all sessions you have registered for.
  • My Tickets: If available at your conference, view all of your Prize Wheel Tickets here.
  • Notes: View, create, and edit Notes throughout the conference.
  • My Files: Quickly view all files you have uploaded to the conference space, such as photos, documents, and videos.

Conference Attendee Application Manual

Thank you for using our Conference Attendee App! Attendees will need to use the Conference Attendee app to access the conference social feeds, view sessions offered, see conference maps, complete surveys, and more! You can download and install the app from iOS App Store and the Google Play Store

First Time Launch

When launching your Conference Attendee app for the first time, you will be asked to log in to your account. The very first thing you will be asked for will be the email you used to register for the conference. After the system finds your account, you will be asked for your password. Once entered, you will be able to log in and access the Conference Attendee app.

If you do not know or remember your password, there will be a Password Reset link on the Enter Password screen. Using this simple process, you will be able to set up a new password and successfully log in to your account.

Home Page

Once logged in, you will be on the Home Page of the Conference Tracker app. At the bottom of this screen, you will see two tabs: Home Page (the current screen) and Social Wall. These tabs may change depending on what section of the app you are on. From this screen, you also have access to the Menu sidebar, which can be found by pressing the three-lined button on the top left corner of your screen.

Note: For iOS users only, you will see a third tab on the bottom of this screen, the Menu button. This is a different way to access the Menu sidebar.
  • Menu: The Menu page can be accessed by pressing the three-lined Menu button on the top left of the screen. This screen will show you all of the available sections of the app you can visit.
  • Home Page: The Home Page can be accessed by pressing the Home Page button at the bottom of the screen. This screen will show you up to nine shortcuts to different sections of the Attendee App. Conference Organizers are allowed to customize this screen, so it will look different for each conference!
  • Social Wall: The Social Wall can be accessed by pressing the Social Wall button at the bottom of the screen. In the Social Wall section, you can interact with other attendees of the conference by posting and sharing messages, files, photos, and videos! We will be learning more about how the Social Wall works in the following section.

Social Wall

By pressing the Social Wall button located at the bottom of your screen, you will be taken to the Social Wall for the conference. Here, you will see all currently posted messages, photos, and videos by other conference attendees. You can interact with each of these posts by either commenting or liking them, and you can even create your own!

  • Posting a Message - To post a message on the Social Wall, press on the text box near the bottom of the screen that is labeled Post on this conference. You will then be allowed to write any message you would like to share. Once you are done, you can press the Paper Airplane button on the right of the text box to post your message.
  • Sharing a Photo, Video, File - Located to the right hand of the text box near the bottom of this screen you will see a Green Plus sign button. This button will allow you to share a photo, video, document, or note. When this button is pressed, you will see four categories to choose from:
    • Camera: Choosing the Camera option will open your device's camera and allow you to take a photo to post to the Social Wall.
    • Gallery: Choosing the Gallery option will open your device's Photos and allow you to choose either a photo or video to post to the Social Wall.
    • Documents: Choosing Documents will open your device's File Storage and allow you to choose a document to post on the Social Wall. Supported file formats include DOC, XLS, PDF, TXT, PPT, and many more!
    • Notes: Choosing the Notes option will allow you to share any Notes that you have taken with our Conference Attendee app. To find out more about Notes, click here.
    • Once you have chosen your file, you can add a message and create the post by following the same directions as posting a message only.
  • Interacting with Other Posts - At the bottom right corner of each post, you will see two icons: the Comment button and the Like button. Pressing the Comment button allows you to leave a message on their post while pressing the Like button will leave a Like on their post.
  • Visiting a User's Profile - Pressing either the photo or the name of any of the users found on the Social Wall will take you to their profile on the Conference Attendee app. To view what can be done in each user's profile, click here.
  • Refreshing the App - From the Social Wall, swipe down from the top of the page to refresh the application. This will allow new updates to the application, including social posts, maps, new sessions, etc.

The Menu section will be your main tool to explore the Attendee app. While the Home Page will have shortcuts to some of the sections found on the Menu, the Menu will hold every single section found on your Attendee app. The Menu can be accessed by pressing the three-line icon on the top left corner of the app, or by swiping right from the left edge of your screen. Here, you will see all of the sections of the Attendee app.

Note: For iOS users only, you will see a third tab on the bottom of this screen, the Menu button. This is a different way to access the Menu sidebar.

Info

In the Info section, you will be able to see general information about the conference, such as the dates of the conference, the conference website, a brief description, and much more! From here, you are also able to view Conference Organizers, Conference Maps, weather at your conference, and even places of interest nearby!

Sessions

In the Sessions section of the app, you will be able to see all of the workshops/sessions the conference is offering. When this section first loads, you will see all of your sessions separated by dates listed as tabs on the top of your screen.

At the bottom of the main Sessions section, you will see some additional buttons that will help you organize your Sessions:

  • Filter: Pressing the Filter button at the bottom of the page brings up categories that will help you filter out your sessions. You can filter them by Tracks, Presenter, Place, Registered, or Happening Now.
  • Sort: Pressing the Sort button allows you to sort the Sessions list by either Time or Name.
  • Search: Pressing the Search button allows you to do a text search for the Session you are attempting to find.
  • Calendar Sync: By pressing the Calendar Sync button, the Conference Attendee app will gather every Session you are registered for and every session you have bookmarked on the Attendee app and add it to your device's calendar.
  • Bookmarking: To bookmark a session, you can press the Heart icon found on the right end of every session title. You can also bookmark sessions by visiting an individual Session's page and pressing the Heart icon found on the top right of the screen.

Session Page

Pressing on any of the Sessions found on this screen will take you to their Session Info page, which lets you view important information about your Session, such as when and where it is being held, who is presenting it, and even access the Social Wall for that Session. If the session has an online component, you will be able to join the stream and watch the session right from your mobile device!

Presenters

In the Presenters section, all the Presenters for the conference will be listed. By pressing on any of the Presenters found here, you will be taken to their profile. Here, you will be able to view their basic information and a list of all of the Sessions they will be presenting. At the bottom of the screen, you will find some extra buttons. Pressing the Social Wall button will take you to that Presenter's social wall. By pressing the More button, you will be able to send the presenter a message, schedule an appointment, and other additional options.

Sponsors

In the Sponsors section of the app, you can view any companies that are sponsoring the conference. By pressing on any of these company names, you will be able to view the company's information, such as booth location, website, social media links, representatives, and much more! At the bottom of each Sponsor's page, you can also view their main contact, request more information, or even schedule an appointment with a company representative.

Exhibitors

The Exhibitors section of the app will show you all of the registered companies and exhibitors at the conference. By pressing on any of these company names, you will be able to view the company's information, such as booth location, website, social media links, representatives, and much more! At the bottom of each Sponsor's page, you can also view their main contact, request more information, or even schedule an appointment with a company representative.

Virtual Exhibit

The Virtual Exhibit allows you to quickly view all promotional content added by every Exhibitor at your conference. You will be presented with a list of promotional content in a slideshow format. If you would like to see more information about the company promoting this content, simply press the View More Information button or the Information Circle Symbol on the top right corner of your screen. To skip to the next Exhibiting Company, swipe left on your screen.

Announcements

In the Announcements section, you will be able to view all announcements that have been sent by the conference organizers. Announcements usually have important updates about the conference. If you press on any of the announcements found in this section, you will be taken to the full announcement's message.

People

In this section, you can view all of the individuals attending the conference. The default view will list all of the attendees in alphabetical order. You can also view the Social Ranking for the Attendees by pressing on the Ranking tab found at the bottom of this page. The more interactions a person has with the Conference Attendee app, the higher their score will be in this section. Actions such as posting messages and sharing files will increase your ranking!

By pressing on a person's name, you will be taken to that user's profile page. The profile page will show you most of their basic information, such as contact information. At the bottom of each user's profile page, you will see additional tabs that will allow you to perform different actions with this attendee:

  • Information: The Information tab is the default screen we are currently viewing. This screen shows basic contact information for the user.
  • Social Wall: The Social Wall tab will take you to that user's specific social wall. This is similar to the main conference's Social Wall, except it pertains to each user. You can more specifically share a message with the chosen user through this Social Wall, but note that these messages will still be public. To find out more about what you can do with a Social Wall, click here.
  • Shared Files: The Shared Files tab will show you any files that the user in question has posted on a Social Wall. This tab may not appear if the individual has not shared any files.
  • More: The final tab at the bottom of a user's page will allow you to send the user a private message, schedule an appointment, or report the user as inappropriate.

Messages

Pressing on Messages will bring you to your direct messaging page for the Attendee App. Here you can privately message anyone that is attending the conference. If you have any active conversations, they will be listed on this page.

  • Click on the Plus sign button on the top right corner of the page, and this will bring you to the page to compose your message. Search/Choose the individual that you want to message, click Go, and then write the message for this person.
  • You can include text/files/photos in your message by pressing the Plus icon to the left of the message text box.
  • Click the Send icon to the right of the message text box to successfully send your message.

Appointments

In the Appointments section, you can view and create Appointments to meet up with other conference attendees and exhibitors! All of your appointments will be listed here, where you can view, manage, or reschedule any of them from this screen. Your Appointments will be sorted by the status of the appointments: Confirmed, Waiting for Confirmation, and Rejected/Cancelled. Pressing on any of the appointments listed on this screen will show you more information about the meeting.

Creating an Appointment
By pressing the plus symbol on the top right of the Appointments screen, you can begin creating an Appointment request. You'll start by choosing who you would like to meet with. After choosing, press the green Make Appointment button, and you will be taken to the next screen. Next, you will choose when and where you would like to meet. After entering this information, your invitation will be sent to the other user. They can then choose to Accept, Reject, or Reschedule the appointment on this same screen.

Live Polls

In the Live Polls Section, you will be able to answer any available Polls that have been created by either a Session Presenter or a Conference Staff member. You will receive a notification when there is a new Live Poll to answer. Pressing on that Notification will take you to this screen. To answer any of your available Polls, simply press on any of their titles. If any of the polls you have answered have public results, you will be able to view them in this section as well.

Follow this process:

  1. Go to Questionnaires–>Live Polls:
  2. In the Poll list you can see all the questions, if there are some with the status “Pending” then click in the 3 dots to the Poll row and select “Answer”:
  3. Answer the Poll and click “Submit”, see this basic poll as an example:

Surveys

In the Surveys section, you will find surveys created by the organizer for the event. You will receive a notification when there is a new Survey to answer. Pressing on that Notification will take you to this screen. To answer any of your available Surveys, simply press on any of their titles. If any of the polls you have answered have public results, you will be able to view them in this section as well.

Follow this process:

  1. Go to Questionnaires–>Surveys:
  2. In the Survey list you can see all the questions, if there are some with the status “Pending” then click in the 3 dots to the Poll row and select “Answer”:
  3. Answer the survey and click “Submit”, see this basic one as an example:

Session Evaluation

In the Session Evaluation section, you will be able to answer any Session Evaluations available to you after attending a Session. After signing into a Session, if the Session has an Evaluation ready, you will receive a notification on your phone alerting you that a Session Evaluation is ready for you to answer. Pressing on this notification will take you to the Session Evaluation screen. To answer any of these Evaluations, simply press on any of their titles.

Follow this process:

  1. Go to Questionnaires–>Session Evaluations:
  2. In the list you can see all the questions, if there are some with the status “Pending” then click on the name:
  3. Answer the questions and click “Submit”, see this basic one as an example:

Profile

The Profile section allows you to edit your profile for other Attendees to view. Here, you can your basic contact information, a profile photo, and your company information. On the bottom of the page, you will see two additional tabs, the Networks tab, and the Bio tab. The Networks tab allows you to display any of your social media profiles for other Attendees. The Bio tab allows you to add a biography for your profile.

Badge

By pressing the Badge section, your bar code for your badge will be brought up to the screen. You can use this digital badge to sign in and out of sessions, just like your regular paper badge. You can also view your badge by accessing the Menu Screen (press the Three Lined Menu icon on the top left of the screen) and pressing on the bar code icon on the top right of the sidebar, next to your name and email.

Self Sign-In

Some conferences may have the option for an Attendee to perform a self-sign-in/sign-out for their Sessions. A Conference Staff Member or Session Presenter will let you know if this option is available. If so, you will be shown a QR code to be scanned. To scan this QR code, you will visit this section of the Attendee app, the Self Sign-In section. By visiting this section, your device's camera will be displayed, allowing you to scan any available session QR code to sign you in or out of a session. All you need to do is point the device's camera at the QR code and it will automatically scan it. You will receive a confirmation message if the scan is successful.

Attendance

By visiting the Attendance section of the app, you can view which sessions/workshops you've signed in to. By pressing on any of the sessions listed in this section, you will be able to view your sign-in/out times with more detail.

Registered Sessions

If the conference you are attending allows you to pre-register for any Sessions, this section will show you all of the Sessions you are registered for. You can also Edit your Session Registration on this page by clicking the Edit Sessions button in the top left-hand corner.

If your Session Registration changes involve a refund, be sure to follow up with the Organizer.

Notes

The Notes section allows you to take private notes for yourself to refer to at a later time. The initial screen displays all of your available notes. Press on the “+” button (iOS Users: located in the top right corner. Android Users: located in the bottom right corner) to create a note. On the following screen, you can change the title of the note, change the color of the note, and categorize the note by either General or by a specific Session. You can input any text you would like to save in the main body of the note. Once you are finished, you can press the back arrow found on the top left corner of the screen and it will save your Note.

My Files

In the My Files section, you will find all the items that you have uploaded to the Attendee App, such as files and photos.

About

When pressing the About section, a pop-up window will be displayed with information about the application, such as Build Version and our home page for more information!

The Help section will link you here, to our Conference Attendee online manual!

Conferences

If you are attending multiple conferences that are using our Conference Attendee app, you can add all of your different logins in this section. This will allow you to switch between conferences without having to sign out of the entire app. To add another conference account:

  • Press the “+” button (iOS Users: located on the top right corner. Android Users: located on the bottom right corner) on this screen. You will be taken to the Attendee app's initial login screen.
  • Enter the email associated with your other Conference account.
  • You will then be shown a list of all of your available Conferences. Pick the Conference you would like to add to your account and complete the sign-in process.
  • Once you have signed into the secondary conference, you will be taken back to the Conference Attendee app, and you will see a list of all of your available conferences.
  • To switch between them, press and hold the desired conference and choose Switch To This Conference.

Logout

This will successfully log you out of the Attendee Application. The next time this application is opened, you will have to sign in again.
